Overview

Nerd Enterprises, Inc. (the “Company”) respects the privacy of the users of its website, www.nerdenterprises.com, and the services provided through it (the “Site”). This Privacy Policy explains what information is gathered and how it may be used.

General Data Collection

As a general policy, no personally identifiable information — such as your name, address, or email address — is automatically collected from your visit to the Site. Certain non-personal information is recorded by the standard operation of our internet servers, including browser type, operating system, and IP address, gathered to enhance your online experience.

The Site’s mailing lists, downloads, special offers, contests, registration forms, and surveys may request contact information, demographic information, and personal preference information. Information submitted will be used only as necessary for our legitimate business interests, including improvement of our products, services, and Site content. Personally identifiable information is never sold or leased to any third party.

The Company does not store any credit card information except as necessary to complete a specific transaction, or as otherwise authorized by a user.

Clean 1099s — Google API Services

This section applies specifically to Clean 1099s, a web application offered by Nerd Enterprises, Inc. at https://nerdenterprises.com/clean/1099s/go.html. It describes how Clean 1099s accesses, uses, stores, and shares data obtained through Google API Services, including Google OAuth 2.0, Google Sheets API, and the Gmail API. This disclosure is required by the Google API Services User Data Policy.

What Clean 1099s Does

Clean 1099s is a tool that helps bookkeepers collect W-9 information and vendor details from their clients’ vendors for IRS 1099 reporting purposes. Bookkeepers sign in with Google to create a secure, personalized workspace within their own Google account.

Google Scopes Requested

When a bookkeeper signs in with Google, Clean 1099s requests the following permissions:

  • Google Sheets API (…/auth/spreadsheets) — to create and write to a Google Sheet in the bookkeeper’s own Google Drive that stores submitted vendor information.

  • Gmail API (…/auth/gmail.send or gmail.compose) — to send email notifications from the bookkeeper’s own Gmail account when a vendor submits their information.

 

These are the only permissions requested. Clean 1099s does not request access to read email, access contacts, access Google Drive files beyond the Sheet it creates, or any other Google data.

How Google User Data Is Used

Data accessed through Google API Services is used exclusively to provide the functionality of Clean 1099s. Specifically:

  • Google Sheets access is used to write vendor W-9 data (name, address, entity type, EIN/SSN, and uploaded W-9 PDF) directly to a spreadsheet in the bookkeeper’s own Google Drive. Nerd Enterprises does not store this data on its own servers.

  • Gmail access is used solely to send an automated notification email to the bookkeeper when a vendor submits their information. No emails are read, stored, or processed by Clean 1099s.

Data Storage and Ownership

Vendor data submitted through Clean 1099s — including business name, address, tax identification numbers (EIN or SSN), and W-9 documents — is written directly to a Google Sheet and Google Drive folder owned and controlled by the bookkeeper. This data resides in the bookkeeper’s own Google account, not on Nerd Enterprises servers.

Nerd Enterprises maintains a Master Registry spreadsheet (in a Google Sheet owned by Nerd Enterprises) that records the email address, name, Google Sheets ID, and Google Drive folder ID of registered bookkeepers. This is used solely for app administration and routing purposes. It does not contain vendor data, EIN/SSN numbers, or any sensitive financial information.

Data Sharing

Nerd Enterprises does not sell, rent, or share Google user data with any third party. Google user data is not used for advertising, analytics profiling, or any purpose other than delivering the functionality described in this policy.

The only parties with access to data stored via Clean 1099s are: (1) the bookkeeper who registered the account, (2) Nerd Enterprises’ Apps Script backend (operating under the bookkeeper’s Google OAuth grant), and (3) the bookkeeper’s own Google account.

Data Retention and Deletion

Vendor data in the bookkeeper’s Google Sheet is retained for as long as the bookkeeper retains their spreadsheet. Bookkeepers may delete their data at any time by deleting their Google Sheet or individual rows within it.

To remove a bookkeeper’s registration from the Nerd Enterprises Master Registry, email hello@nerdenterprises.com with the subject line “Clean 1099s — Delete My Account.” The registration record will be deleted within 30 days. This does not affect the bookkeeper’s own Google Drive data.

Nerd Enterprises will retain Master Registry records (email, name, Sheet ID, Folder ID) only as long as the bookkeeper remains an active user of the service.

Compliance with Google API Services User Data Policy

Nerd Enterprises’ use of Google API Services complies with the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • App data is not used to develop, improve, or train generalized AI or ML models.

  • App data is not used for advertising purposes.

  • App data is not shared with humans except as necessary to provide the service (e.g., for support or security purposes), as required by law, or after obtaining affirmative user consent.

  • We only request the minimum scopes necessary for the app to function.

Community Platform (Circle)

Nerd Enterprises hosts its member community (Talk Nerdy To Me) and educational programs on Circle. If you participate in Circle-based spaces, content, or programs, Circle’s own privacy practices apply to data processed within their platform. Please review Circle’s privacy policy for details. Nerd Enterprises is responsible only for the data it collects and controls directly.

Use of Cookies

Cookies are pieces of information that a website transfers to your computer for record-keeping purposes. They make using our Site easier by saving preferences. These cookies are restricted to use on our Site and do not transfer personal information to any other party.

You can reset your browser to refuse all cookies or to indicate when a cookie is being sent. Some parts of the Site may not function properly if cookies are disabled.

Disclosure of Information

The Company may disclose user information when it believes disclosing this information is necessary to identify, contact, or bring legal action against someone who may be causing injury to or interference with the Company’s rights or property, other users, or anyone else that could be harmed by such activities. The Company may also be required to disclose personal information in response to lawful requests by public authorities, including to meet national security or law enforcement requirements.

Children Age 16 and Under

The Company recognizes its special obligation to protect personally identifiable information obtained from children age 16 and under. If you are 16 years old or younger, the Company requests that you not submit any personal information to the Site. If the Company discovers that a child age 16 or younger has provided us with personally identifiable information, it will be deleted from our records.

Links to External Sites

The Company is not responsible for the content or practices of third-party websites that may be linked to the Site. You should refer to each website’s respective privacy policy prior to disclosing any information.

Choice / Opt-Out

You may opt out of receiving communications from us at any time by following the unsubscribe instructions in any email, or by emailing hello@nerdenterprises.com with “Unsubscribe” in the subject line.

Transfer of Information Across National Borders

Our Site and the information we collect are operated on servers located in the United States. When you access or use the Site and our services, personal information may be transferred outside the country in which you are situated. The Company’s policies ensure that such personal information is protected to a consistent standard when processed by any Company entity or service provider. Appropriate data protection clauses approved by the European Commission are in place with any applicable third-party providers.

Your Access to and Control Over Your Information

Users may contact the Company once per calendar year to review the personally identifiable information collected about them. To do so, email hello@nerdenterprises.com with the subject line “Personal Information Review Request.”

To request account deletion or removal of your email address and related data, email seth@nerdenterprises.com with “Delete Account” or “Delete My Information” in the subject line.

Your California Privacy Rights

California Civil Code Section 1798.83 permits California residents to request information about third parties to which the company has disclosed personally identifiable information during the preceding year for direct marketing purposes. The Company has not and will not share your personally identifiable information with third parties for their direct marketing purposes. Security

Security for all personally identifiable information is extremely important to us. We have implemented technical, administrative, and physical security measures to protect your personally identifiable information from unauthorized access and improper use. We continually review and update these measures.

Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure. While we strive to protect your personal information, the Company cannot ensure or warrant the security of any information you transmit via the Internet.

SMS Program Terms

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. SMS originator opt-in data and consent will not be shared with any third parties.

By providing your mobile phone number, you consent to receive SMS messages from Nerd Enterprises, Inc. related to order updates, promotional offers, or inquiries you initiate. Message frequency may vary. Standard message and data rates may apply.
